LevelUp English is a Berlin-based education company delivering English project weeks, holiday camps, and educational experiences for schools and families across Germany.
As we continue to grow, we are looking for a reliable and detail-oriented Freelance Bookkeeper & Finance Coordinator to help maintain the financial organisation and operational health of the company.
This role combines traditional bookkeeping responsibilities with a modern, process-driven approach. We are particularly interested in finding someone who is excited by automation, AI tools, and smarter ways of working to help us build a lean and efficient finance function.
You will take ownership of the day-to-day financial administration of the company and act as the bridge between our internal systems and our tax advisor.
Your goal is to ensure that financial information is accurate, organised, up to date, and easy to access while continuously improving processes to reduce administrative workload.
Aufgaben
Bookkeeping & Financial Administration
Manage and maintain our spend managent tool Spendesk
Organise and reconcile receipts and invoices
Categorise transactions and ensure records are complete
Prepare monthly bookkeeping handovers for our tax advisor
Maintain accurate financial filing systems
Monitor incoming and outgoing payments
Track outstanding invoices and follow up where necessary
Support basic cashflow visibility and reporting
Process Improvement & Automation
Identify opportunities to streamline financial workflows
Reduce manual administration through automation and improved systems
Support the implementation of AI-assisted processes where appropriate
Help create a modern and scalable finance function as the company grows
Work with leadership to improve financial visibility and reporting
Coordination & Communication
Liaise with team members regarding missing receipts and documentation
Coordinate with our external tax advisor
Ensure financial records remain organised and audit-ready
Provide occasional financial and administrative support to leadership
Qualifikation
Essential
Experience in bookkeeping, finance administration, or accounting support
Strong organisational skills and attention to detail
Comfortable working independently and taking ownership of responsibilities
Familiarity with German bookkeeping processes
Excellent communication skills
Reliable, proactive, and solutions-oriented mindset
Nice to Have
Experience with Spendesk, SevDesk, DATEV, or similar platforms
Experience working with startups, SMEs, or growing businesses
Understanding of German GmbH structures
Experience working with external tax advisors
Interest in process optimisation and digital systems
